How 4 Wufoo Users Save Time with Zapier Workflows

So instead of manually triggering an onboarding email sequence to a new lead, for example, a Zapier integration could automatically create a new MailChimp subscriber using data from your form and kick off an email sequence to your customer.

Here are a few ways Wufoo users rely on Zapier to automate their workflows and get even more done.

Capture Inbound Leads

If you’re capturing leads through a Wufoo form on your website, you can create a Zap to automatically add that lead to your CRM as a contact once they submit the form. Home insulation company Alexander Watson relies on a Wufoo form to get essential client information to their CRM platform, Infusionsoft.

“This Zap means that our staff members no longer have to manually enter in client info, which eliminates a heap of data entry errors,” insulation specialist Jeremy Watson says.

Close More Sales

Capturing lead information with Wufoo is a great way to quickly get customers into your pipeline so you can close more deals. Zapier can automatically add those form responses to your CRM.

For example, Steve Gumm, marketing executive at online postgraduate program Diploma MSc, uses Wufoo to capture leads online. A Zap connects Wufoo to Pipedrive and creates deals in Pipedrive, saving the team tons of time.

“The Zap is extremely valuable to us as it considerably saves us manual data entry,” Gumm says. “Previously, we had one member of the team manually inputting data for the majority of their role. This process is no longer required, thanks to Zaps.”

Fitness company Project Warrior uses a Zap to make sure action is taken on new client leads while they’re still hot. New clients who sign up by filling out a Wufoo form have their initial consultation scheduled with a Zap.

“Once the client completes the application in Wufoo, Zapier creates the contact in Infusionsoft and applies a ‘hot lead’ tag to it,” owner Kyle Genner says. “The contact is then sent an SMS from TextLocal encouraging them to book a call to go over their application and sign up. If they don’t book a call, they are then sent a series of follow-up emails via Infusionsoft. All of these apps help to build our brand authority and automate what would otherwise be a very time-consuming and expensive process.”

Encourage Repeat Customers

Once your leads turn into customers and buy your product, there’s a new place to focus your team’s efforts: Get those users set up with your offering and make sure they are happy with it. You can set up Zaps such as this one to help you manage that process, too:

For example, Morgan Oberg, tutor at adult education company Sensus, relies on Todoist to help him fulfill customer orders. Whenever a customer places an order via a Wufoo form, a Zap creates a Todoist task that reminds him to package and send the order. Plus, the Zap prints the shipping label via Google Cloud Print and updates the customer’s information in email marketing tool MailChimp.

“When somebody makes an order, I have Zapier send the info to Todoist so I can remember what to do,” Oberg says. “In order not to market things to my customers that they have already ordered, I send the order info to MailChimp.”

Wufoo InterQHere at InterQ, we’re in the business of doing qualitative and quantitative research.

Qual-what? Ah, excuse our jargon.

Basically, we conduct focus groups, interview customers/potential customers, and even do a little UX work that includes biometrics and customer journey mapping.

Essentially, we’re in the business of people-to-people research. We help companies refine their products before they launch them, and we work with existing companies to improve their brands, marketing, and products.

Focus groups are an especially popular methodology that we use, and recently, we had a project that required an upfront questionnaire before we could assemble the focus groups. Naturally, we turned to Wufoo to help us out. Here’s how their super-easy-to-use forms totally enhanced our project and made it much more awesome.

We were going to be discussing a website for a focus group project in order to help our client enhance all sorts of things—content, flow, navigation and so on. We ran into a bit of a sticky issue however: We needed to make sure that all of the focus group participants (64 of them, broken into 8 groups of 8) were familiar with the site before we had our group discussion. How to do this? How to do this??

We thought and thought about it. And then we settled on a brilliant plan.

Long story short—we decided to launch a brief survey that we’d send to the focus group participants prior to the actual groups. By asking the participants to answer specific questions about the website, we’d be able to ensure that they were familiar with the content before we assembled everyone and got their feedback. We called it homework. But, like, the fun kind.

So full disclosure: Here at InterQ, we’re pretty rad (yes, people do still use rad) at doing qualitative research, but we’re not so rad at writing code. Actually, it’s downright intimidating. But no worries. Wufoo has pre-made templates that we could choose from for our homework exercise.

As mentioned, we’re not savvy when it comes to writing code or programming. Fortunately, Wufoo’s forms make it super easy with their drag ’n drop functionality. We chose the form, and then we were able to easily customize it based on our specific survey needs. We asked people to go to the website, and then we had them fill in specific questions (both multiple choice and open-ended) to ensure that they actually spent time poking around the site. At the end, we dropped in an Email and Name section to help us track who had filled out the form:


Putting it all together: Analyzing the results

Prior to conducting the focus groups, we needed to keep track of who had filled out the homework assignment, and, as a bonus, we were able to learn a bit more about each participant by reading through their responses. Wufoo’s Reporting Manager feature made this super handy:

In the Report Manager, we could go in and get detailed views of not only the answers to the survey questions, but we could also see where people lived by region, what kinds of software they used to fill it out, and how many responses we were getting by day. We then exported the data to a spreadsheet to make it easy to share and analyze amongst our team.

Wufoo’s Form Gallery, Drag ‘n Drop functionality, and Report features took a huge burden off of our project management logistics. We were able to develop our focus group homework assignment surveys in a short period of time, direct participants to the survey through a link, and analyze the results with just a few clicks.

By setting up the survey process through Wufoo, we ensured that all 64 of our focus group participants visited the website we were discussing for the project. All this enabled us to have a fruitful, productive set of focus groups that yielded transformative insights for our client.

How to Build a Strappin’ Business with Forms

I’m serious when I say that Wufoo has always been there. We can’t even remember what life was like before Wufoo in fact. For over three years, online forms have been an integral part of operations.

I built BWB in an afternoon way back in 2011 just after the public launch of Bootstrap (then known as Twitter Bootstrap). We got featured on the official Bootstrap docs, leapt up onto the first page of Hacker News and got cemented into the community.

Who the heck are ya?

Simon HampBuilt With Bootstrap is the biggest collection of sites built with the world-famous Bootstrap front-end framework. Thousands of sites have been submitted and hundreds of designers and developers return every day to check out the latest sites for inspiration and to find new tools and services.

How the heck do you use Wufoo?

So our first form was a survey to gauge designers and developers reactions to Bootstrap as a framework. This continues to be interesting, but as far as I know, no one has really done much with this data.

The most important forms for BWB on Wufoo were developed for our Featured Listings. This allows us to easily integrate payments and other parts of the process. What does this mean? Automation, automation, automation. A massive win for me personally as I still have a day job to do, hah.

How the heck have we changed the way you do business?

It’s drastically improved it. In the early days, people were submitting featured posts and I was manually going through our queue and hand-delivering a PayPal money request. A lot of these fell by the wayside.

With Wufoo, folks have a more direct payment experience and it’s clearer what we’re offering and how much it costs.

Integrations with our other key tools, like Campaign Monitor, have been essential too.

When I first started getting people paying me through a form that only took me a few minutes to set up…that’s incredibly powerful.

How to Drive Customer Growth (and More) Beautifully with Wufoo

We’ve talked about Wufoo weddings before here on the blog. So it gives us a thrill to bring a little love back into the air (yeah yeah, we know Valentine’s Day is still a few months away) but from a different perspective—the wedding photographer’s!

In our latest customer spotlight, we have Matt Badenoch of Matt Badenoch Photography, here to talk about how he uses forms to both maximize his customer base and minimize unnecessary communication time and more.

As a moment capturing, storytelling wedding photographer, I love the diverse, cultural melting pot that is London. Being a part of incredible life stories each week is what makes wedding photography the best job in the world. My business is very relationship based and not only do I strive to provide my clients with amazing photos but I also want to deliver an awesome experience. I’m always looking for ways to streamline existing workflows and processes. This frees up more time to focus on growth—booking additional clients faster and increasing value to my existing clients.

Here are some of the features and methods that I rely on in Wufoo to accomplish some of my business goals—you can too!

This is the first point of communication with the majority of my clients so a really important one. The customization options available allow me to create engaging and professional looking forms that can be integrated seamlessly into my website.

Brand consistency—a crucial requirement for any business, large or small—is also possible with the customization options. Also a great place to find out how my couples discovered me. This also lets me calculate the ROI on my marketing activities. The Report Builder makes this a cinch to do.


I’m always educating my couples on the wedding photographer industry as most have no prior experience. As a result, I developed a detailed FAQ page. The primary goal of my website is to get potential clients to contact me. I’ve embedded a short form entitled ‘Still have any questions?’ on the FAQs form, encouraging couples to reach out. The Wufoo form is perfect for this.


There’s a lot of information I need to get from my couples before their wedding day (different addresses, timings, group shots they want, sensitivities I need to know about etc). This used to involve tons of back-and-forth emails. Which of course meant that sometimes information would fall through the cracks or get missed. Now I send them two forms (one at time of booking and the second form one before the wedding date). It’s a better user experience for my couples, saves me loads of time and the best bit, when I need to access the information the day before the wedding? It’s all there in one place.

Another important part of the wedding—timing. Using the ‘preferred value’ option I can easily let my couples know what their wedding photo timeline will look like. At the same time, this lets them provide details unique to their wedding.


Hugely important for any business especially one like mine focused as much it is on excellent customer service. The Five Star Rating System is fantastic for getting feedback from my clients. And even better—it only takes them a matter of seconds to complete.

Wufoo forms are now integrated into 80% of my client’s communications. Balancing up to 50 clients all at different stages of their customer cycle…there’s always a risk of information falling through the gaps. Online forms drastically reduce the chances of this happening. My customers’ experience filling out my forms is at once smooth, effortless and the interface is clean and elegant.

And seriously, with the time saved on my end, I’m able to spend more valuable time on my marketing efforts, figure out other ways to increase my customer base and you know in the evenings, I can hang with my friends and family!

Capturing Customer Leads Like a Pro

As an entrepreneur and small business owner, it’s important to streamline and maximize where I can. I started Muddy Plimsolls, Ltd. with my wife Fiona (that’s her above, training hard) and it’s been a thrill to watch the company grow into what it is today.

Our personal training firm specializes in outdoor fitness training and we’ve been in business since 2008. In our particular line of work, we pride ourselves in combining our, ahem, awesome fitness training alongside our absolutely brilliant customer service in the form of easy-to-use online payments and advance booking systems. This is where Wufoo comes in.

Wufoo forms live and work right alongside Muddy Plimsoll’s customer experience timeline. We start with initial enquiry forms. Either short ‘Call Back’ forms or forms that give leads the opportunity to tell us some more about themselves such as their fitness goals and when/where they would like to have their personal training sessions.

When a new client signs on, they then fill out our Physical Activity Readiness Questionnaire which includes medical questions that must be completed for insurance purposes.

After a new client has completed their first 28-day Training Plan with us, they get a ‘How did we do?’ feedback form. When three months pass, we then ask them to complete a testimonial form. And should a client wish to end their training, they receive another review form about their reasons for leaving.

The most powerful use of Wufoo for us has been in collecting information from leads who contact us. So we put quite a bit of thought into how to design those forms: they must be short enough to complete quickly but in-depth enough for us to know how to best serve this new (potential) customer.

Designing a Wufoo form really makes you think about how the customer is engaging with your company. Because the Theme Designer is so easy to use, we can split test forms to see how each client responds.

Stretch and Flex Your Forms: How a Yoga Studio De-Stresses with Wufoo

We gave out a shout and you listened. Featuring your fine work in forms has been a goal of ours recently and with a little tweet help, we’ve gotten to learn even more about the many different (and cool!) ways you guys use Wufoo.

Without further ado, let us introduce you to Amy Ballinger, owner of Moksha Yoga Hamilton in Ontario, Canada. Amy’s business goal is centered around de-stressing, strengthening and calming the minds and bodies of her clients. And you know what, we can relate. Our forms are designed to do the same for our customer base as well—with less sweat on our ends though.

Having the right systems in place

As the owner of a yoga studio that is part of a collective of hot yoga studios called Moksha Yoga in Canada and Modo Yoga in the United States, I used to think that owning a studio meant that you could do yoga all day. Now I know that creating a space for people to let go of their stress means that the behind-the-scenes things need to run really smoothly. Over the four years that this studio has been open, Moksha Yoga Hamilton has developed into a space that welcomes more than 200 people every day, a vibrant community of people all working to reduce stress and create more peace in their lives. The studio space, and all the admin and operations work it takes to run it, need to run smoothly and with ease to create the sense of peace and relaxation people get the minute that they walk through our doors.

I’m a big believer that being organized for your staff and having systems in place for them to use reduces work stress while also fulfilling the needs of the studio. When people can follow a clear list of steps or a checklist, they know exactly what they need to do and how to do it, and this allows for them to be a lot more peaceful and present with our clients. They are never scrambling around or feeling panicked trying to figure out what to do.

Streamlining operations, setting expectations

I use Wufoo mainly to streamline the studio’s operations, set expectations, provide access to more detailed information, collect orders and gather feedback. Pretty much anything I can turn into a Wufoo form, I do. I would say that I am known for my Wufoo obsession! A few examples for you:

Checklists: Step-by-step lists of things that need to be done (ie. what to do when you open the studio in the morning: turn off the alarm, adjust the heat settings, fold the towels in the dryer, etc, etc)

Feedback: We use feedback forms that we have created in Wufoo to give clients the opportunity to give feedback about their experience in the studio, Teachers to give feedback to one another on how to improve their classes, and front desk staff to give feedback about their shift (ie. if they had any issues with the cash out, the highlight of their shift, any questions, etc). Not only that, all of my other forms (like checklists) include space for people to share their feedback, ideas for improvement, any challenges encountered, etc. This is helpful for me to continuously improve the way we do things and to address any difficulties.

Reports: We use the forms as incidents reports to keep track of notable situations at the studio or things that require client follow-up.

Manuals/Guidelines: This is a big one for me and where my love for Wufoo really deepened. I learned how to make hyperlinks in forms and I use them to connect to specific notes in Google docs or Evernote with more information.

For example, I can have something in a form that says ‘adjust the heat settings’ as a hyperlink, and if the person isn’t sure how to do this, they can click and the step-by-step instructions of how exactly to adjust the heat pops up. This way I can streamline the Wufoo form (so that it isn’t information overload), but any time the person using the form needs more info, it’s right there without them having to search. This is also great to link to troubleshooting steps.

Inventory: We use Wufoo forms for things like cleaning supply checklists to run through and make note of anything we need more of. Then I can access the email from my phone when I’m out picking up more supplies.

Order Forms: My latest addition to my roster of forms was a food order form for an event we did with a local juice bar. I took advantage of the awesome reporting features and created not only a form for people to fill out to submit their food order, but a report that tracked the exact total of each item that the juice bar needed to make. I provided them with direct access to the reports with the totals for each day and they delivered the food. It worked really well.

Forms as rite of passage

EVERYONE uses Wufoo here. Haha…But seriously. Everyone. From every teacher, desk staff, volunteer cleaner to client. It’s almost like a rite of passage to Savasana at MYH. I’m a big believer that good systems lead to a relaxed environment. I used to worry that things like systems and checklists would make the studio seem ‘corporate’, but now I realize that that is what makes the studio feel so good. Staff and teachers have the ability to be really calm, present and engaged with clients when they’re not feeling frantic over figuring out what to do and how to do it. Having information and clear steps at their fingertips also helps to ensure that everything gets done that the studio needs to look, feel and operate at its best.

Don’t forget to Zapify!

I’m appreciative that this business exists, that it’s affordable and that it has the same fun and silly vibe that we have at the studio. It shows me that offering a great service doesn’t necessarily mean that it’s dry and corporate, or come at the cost of the vibe. I mean, how can anything be super ‘corporate’ when the profile avatars look like they do and when you go to login and it says “RAWRR”. Even the bottom of this form says “Zapify!!” when it could just say “submit”. Man, I love you guys.

I first came across Wufoo at my previous institution and fell in love with the features and their awesome support. I’m now at John Carroll University and we use Wufoo for just about every area on campus. From fundraising, to event registration, to surveys…you name it, we do it.

Here’s an example of just one of our forms in action.

One of the biggest advantages for us is how easy the form-building system is to use. Because of the simplicity, we’ve given accounts to our campus users and basically sent them off on their own to build, build, build their own forms. Our employees have also used the Wufoo embed feature where they can copy/paste their forms directly into their websites. This ability cuts down on the amount of forms that need to be made and reduces our own support calls. Great stuff!

The API is awesome and we’re in there quite a lot. And, in the spirit of customer feedback, we offer this suggestion up for you Wufoo wizards—we have a LOT of forms that we create and sometimes the initial loading/searching abilities can take a little time to catch up.

We brought Wufoo on board to tackle the limited scope of our un-modifiable website forms and we’ve used it one way or another across all sections of our business. I have to say, going with Wufoo has truly been one of the most brilliant decisions we’ve made as a company thus far. Why? We love how the interface is so easy to use for one. Even the technophobes on our team are amazed at how straightforward, simple and versatile the product is. Customizations Galore

Wufoo’s endless customization possibilities, lets you change the appearance of each and every form to suit your requirements. It’s also useful that the tool allows you to save your settings should you wish to reuse or clone your themes over and over again. 
Also, with some of our previous forms, spam used to flood our inboxes. Since Wufoo came into our lives though, there’ve been no spam worries or need for ugly captcha fields.

Increase Customer Interactivity

People don’t like to complete long forms, period. The combinations of form rules and logic that Wufoo offers helps us condense our forms so they’re easily digestible. We can add further questions based on the customer’s responses. The ability to ask additional targeted questions is much better in terms of the user experience and makes life easier for us on the backend.

Personalize Lead Generation

Pre-filling forms has also been a feature we use a lot. We do this by completing some fields of the form with the extension to the URL based on the dynamic fields in Wufoo. This means our customer on the receiving end of the form has less to fill out. This also helps us convey our personalized customer service approach through our forms, makes a really great impression and increases leads.

Last but not least, the really handy dynamic fields (from API information) can be used to pull through elements of the form in email subject lines, notification emails and Thank You messages. It sounds simple, but it makes such a difference to the person submitting the form and to the team who receive it, as they can then get a quick snapshot of the form contents and prioritize their workload accordingly.

Customer Spotlight: How Couch Fest Films Uses Wufoo To Run Their Film Festival

Like the rest of the natural world, we really dig the movies. Movies in any genre, size, shape or form—all totally cool with us. So when we came across Seattle-based Couch Fest Films and learned how Wufoo’s helping to support their grassroots efforts in distributing independent films, we knew this form story had to be shared. Ready for some action? Craig Downing, the director of Couch Fest Films is here to give you the behind-the-scenes lowdown.

We’re rolling!

We are Couch Fest Films—a shorts film festival held in strangers’ houses all over the world, all on the same day! I’m the director of this scrappy film festival. Initially, we started the festival in order to help people in Seattle open their doors (metaphorically of course) to one other. We’re proud to offer this awkwardly awesome film experience for film lovers all around the world :)

Simply put, we’re using Wufoo to prevent us from going crazy. Fact. Before Wufoo, we had paper applications from filmmakers, notes and random bits of paper unfurling off shelves and spilling out of our pockets. We desperately needed a clean and efficient way to manage the many applications we were receiving. In fact, we use Wufoo for most interactions with our community. Wufoo helps us actually look organized as we collect film submissions, host applications, job applications, press inquiries and press accreditation applications. 

There are many reasons we chose to use Wufoo. We liked that the form lives within the ecosystem of our webpage. As a team, we fought for months designing our page. After having passionate debates over whether a page margin should be 1 pixel or 2 pixels, it would’ve been such a heartbreak to have our users leave our site when using a form. So, we were relieved when we saw that Wufoo had the option of embedding a form right into our website. Users stay within the ecosystem of our website for the entire process even when making payments. Yes! 

We also loved the form logic option for our forms. Having form logic, dynamically changed the options the user is seeing on the page so that they’re only shown relevant questions and not bogged down with questions that don’t pertain to their submission. Genius!

All of our internal teams are using Wufoo as we collect info. Our film team is able to collect all the information needed from filmmakers submitting their work for the chance to play worldwide. The outreach team uses Wufoo for those interested in hosting films in their community. HR accepts job and intern applications thanks to Wufoo. And the marketing department can quickly and easily accept press accreditation applications. We’d be crippled without the ability to easily collect info and payments internationally for our film festival.

Many times our team is sneaking around film festivals looking for the very best films to showcase. So, it’s rare that we operate as a traditional office. Typically, we kind of squat cafes around the world managing our festival. Wufoo allows us to decentralize our office. We can manage submissions online no matter where we are at in the world.

In addition, it makes it easier for us to receive international submissions since they can submit online bypassing any shipping fees. In fact, when we were invited to Iceland, Wufoo allowed us to operate with this change without any hiccups.
 We’re also really excited that because of Wufoo’s flexibility, we’re the first film festival in the world to be able to accept Bitcoins for film submission fees. This would’ve been impossible for us without Wufoo. Fact.

To be honest, there are so many experiences to think of. When we first discovered Wufoo, we annoyed our friends and roommates pining about the service. It was so refreshing to find a product that clearly was being used by the same people who designed it. How could we tell? Because of the details. Everything was so seamless. We noticed the interface, the endless options, the colors, the human customer service and the little funny notes built into the instructions. It’s been such a pleasure interfacing with Wufoo and it’s so evident how committed the developers are to Wufoo.

Overall, for us, it was as if Wufoo time traveled into the future, figured out exactly how we would use forms, came back from the future and then built this tool for us. You won’t be able to convince us otherwise. I know we’re gushing here but we had tried so many other options that were just okay and we felt like these other tools had been built and then abandoned by their developers. Wufoo is always adapting with the dynamically changing needs of the Interne and this attention to detail and commitment to innovation does not go unnoticed with the entire team at Couch Fest.

Answering Prayers with Wufoo for Daystar Television Network

Welcome, Daniel! Tell us—How’ve you guys been using Wufoo?

We use Wufoo for all of the day-to-day stuff you’d expect like registrations for upcoming conferences but recently we started using forms for something a little bit unexpected—online prayer requests. Prayer is very important to all of us here at Daystar so reliability was key in our decision to go with Wufoo. That form connects to Zapier and to a help desk. This workflow ensures that we get back to people in a timely manner and let them know that we’re praying for them.

There’s custom code in place that flags emergency situations for us such as if a person submits a form saying they’re thinking about hurting themselves. This allows us to react quickly especially during peak times when our phone lines may be tied up. We also use Wufoo’s API to pull the prayer requests for use on air.

How has Wufoo changed the way you do business?

It’s truly helped the Marketing and Partner Services teams here at Daystar focus on what’s most important—our customers’ experience. We’ve also been able to concentrate on expanding and improving upon our integrations rather than waste a ton of precious time and money on development resources typically associated with building forms from scratch. Then there’s the question of making sure that they’re working properly. We don’t have those kinds of worries with the simplicity of Wufoo forms.

What’s been your favorite experience so far?

Reliability and consistency is super key. In other words, I know that Wufoo will just always work. In the past, I’d used plugins and other services and when you go that route, you’re constantly worrying that a single update will end up destroying all of your hard work and annoy your customer base. That’s really been the whole team’s favorite experience.

I mean, Wufoo is pretty rad. People still say that, right?
